Privacy Policy
Last updated: 27 August 2026
This Privacy Policy explains how SchedGo ("SchedGo", "we", "us") handles personal data when you use the SchedGo app and website. SchedGo is the data controller for the personal data described here and decides how and why it is processed.
1. Data we collect and why
- Account data — email address, password credentials (stored hashed by our authentication provider), username, display name and avatar. Used to create and secure your account and to identify you to friends.
- Calendar and social content — events you create (title, time, place, category, notes), RSVPs, groups and members, invites and event comments. Used to provide the core Service and to show plans to the people you share them with.
- Optional status sharing — a general status such as "Free right now" or a named place, plus a timestamp. This is off by default and only shared with the audience you choose (nobody, friends and your groups, specific friends or groups you pick, or everyone).
- Precise location (live location) — if, and only if, you switch "Live location" on, we collect your device's precise GPS coordinates (latitude, longitude and accuracy) and the time of the last fix, and show them as a pin on the friend map. This is off by default, requires your device's location permission, is limited to accounts aged 18 or over, and expires automatically after the duration you choose (1 hour, 4 hours or the rest of the day). Coordinates are shared only with the audience you selected and are visible to no one else. Turning the toggle off, pausing sharing, setting your audience to "Nobody" or letting the timer expire deletes the stored coordinates from your status immediately. We never sell location data, never use it for advertising, and do not keep a location history — only your most recent position is stored, and only while live location is on. We use your date of birth solely for the 18+ age check on this feature.
- AI prompts — the text you type into quick add or the assistant, together with the current date and your time zone, is sent to our AI model provider to produce a structured event or a reply. We also count how many AI requests you make each day to apply plan limits. Prompts are not used to train the provider's models, are not shared with other users, and we do not send your precise location, contacts or payment details to AI providers.
- Usage and device data — log data, IP address, device and browser type, error reports and feature usage. Used for security, fraud prevention, debugging and improving the product.
- Support messages — what you send us when you ask for help, used to answer you.
- Subscription status — your plan, status and billing period, so we can unlock Plus features. Card and payment details are collected and processed by Paddle, not by SchedGo — we never see your card number.
2. Legal bases
We process account and content data to perform our contract with you; usage, security and fraud-prevention data on the basis of our legitimate interests in running a safe and reliable service; optional status sharing and any marketing messages on the basis of your consent, which you can withdraw at any time; and some data because we have a legal obligation to keep it (for example tax and accounting records).
3. Who we share data with
- Other users — only as directed by you: people you invite, group members, and the friends or groups you have chosen to share your status and (if enabled) your live location with.
- Service providers (subprocessors) — cloud hosting and database, authentication, AI model providers, error monitoring and analytics tooling, acting on our instructions.
- Merchant of Record — Paddle.com, for the sale of SchedGo Plus, subscription management, payments, invoicing, tax compliance and refunds.
- Professional advisers — legal and accounting advisers where necessary.
- Authorities — where required by law or to protect our rights or someone's safety.
We do not sell your personal data.
4. International transfers
Our providers may process data outside your country, including outside the UK and EEA. Where that happens we rely on appropriate safeguards such as adequacy decisions or Standard Contractual Clauses.
5. Retention
We keep your account and content while your account is active. Precise location is kept only as your single latest position and is erased as soon as live location is switched off, paused, expired or your audience is set to "Nobody"; we do not build a location history. AI prompts are retained only as long as needed to produce your result and to keep your daily usage count; usage counters are kept for the current and previous billing period. Logs and error reports are kept for a short retention window and then deleted. Subscription and invoice records are retained by Paddle and by us for as long as tax law requires (typically 6–7 years).
Deleting your data — you can delete your account at any time from Profile → Delete account. Deleting your account cancels any active subscription, and permanently removes your profile, events you host, RSVPs, comments, groups you own, status, location data and AI usage records, except records we must keep for legal, tax or dispute-resolution reasons. You can also delete individual events, comments and your status at any time inside the app, or email us to request erasure and we will action it within one month.
6. Your rights
Depending on where you live, you have the right to access your data, to have inaccurate data corrected, to have data erased, to restrict or object to processing, to receive your data in a portable format, and to withdraw consent. If you are in the UK or EEA you may also complain to your local supervisory authority. Contact us through the app and we will respond within one month.
7. Security
We use appropriate technical and organisational measures, including encryption in transit, hashed credentials, row-level access controls in our database so users can only reach their own and shared data, and least-privilege access for staff and services.
8. Cookies and similar technologies
We use essential cookies and local storage to keep you signed in, keep the app secure and remember your cookie choice — without these the app cannot work. Optional functional storage remembers preferences such as your calendar view, and optional analytics storage gives us anonymous usage statistics. Optional cookies are only set after you accept them in our cookie banner, where you can accept all, reject everything non-essential, or manage each category individually. You can change your choice at any time from the cookie preferences link in the footer, and you can clear or block cookies in your browser settings. We do not use advertising cookies.
9. Children
SchedGo is not directed at children under the age at which consent is required in their country (13, or higher where local law requires). Precise live location sharing is restricted to users aged 18 and over and is blocked at the database level for anyone younger. If you believe a child has given us personal data, contact us and we will delete it.
10. Contact
For privacy questions or to exercise your rights, contact SchedGo support from the app. For billing or invoice data handled by our Merchant of Record, contact Paddle at paddle.net.
